We explain how to attend online meetings using Microsoft Teams and how you and your support people can contact us for help to access our meetings.
We will send out a confirmation letter that has information what to do. However, you can call us, and we'll help you get everything working. If you are not sure about using technology, you can talk to us about other options that can help include you in the meeting.
What do you need to do to prepare before the meeting
Once your meeting has been confirmed, you will receive a confirmation letter with a link to the meeting and also a separate email invitation. If you haven’t received an invitation at least 5 days before your meeting, please check your spam email folder or call us on 0800 119 221.
You can join using your internet browser or you can download the app. Our Microsoft video conferencing app is easy to use and free, but there are a few things anyone attending by videoconference will need to check before the meeting date:
Make sure you’ve got a good internet connection. Broadband speeds work best.
At least 48 hours before the meeting check you can access Microsoft Teams by:
Clicking on 'join the meeting’
Select “join by internet browser” option or if downloaded, the “Teams App”.
If you’ve made it to the lobby you can hang up. You can then follow the same process before the scheduled meeting start time to join the Conciliation meeting.

Joining the meeting online
In the confirmation letter and the invitation, you will find the link to the meeting. Follow the instructions to click 'join the meeting' button and you'll go straight into the virtual lobby.
We’d recommend you enter the virtual lobby at least 10 minutes before the meeting is meant to start so you can relax in the lobby or have time to sort out any last-minute connection issues.
Options if you can't join online
We know that some people do not have a computer, internet connection or don't have the confidence to join meetings online. You can join the meeting by phone or we can help you by sending an iPad to you so you can attend the meeting online. This is part of our digital inclusion service. If you would like to discuss the option of using this service, please get in touch with us 10 days before your meeting so we can make the necessary arrangements.
If you want to join by phone, check your confirmation letter for the phone number to call and the phone conference ID to enter. If you have any problems, give us a call on 0800 119 221.
